Job Description Summary:
In the heart of the nation’s capital with additional programs in Virginia, the George Washington University (GW) was created by an Act of Congress in 1821. The Office of the Executive Vice President, Chief Financial Officer and Treasurer is responsible for the management of the George Washington University’s financial resources. This office includes the University Controller, Financial Planning and Operations, Human Resource Management and Development, Business Services, Real Estate, Division of Safety and Facilities, Procure-to-Pay, Treasury and Risk Management, Treasury and Risk Accounting, and GW Information Technology.
The Administrative Associate position will support the administrative functions of the Executive Vice President, Chief Financial Officer, and Treasurer’s Office, in particular the Financial Planning and Operations’ Office and the Real Estate Office. The Financial Planning and Operations’ Office oversees Budget and Financial Analysis as well as Financial Management which includes Finance Directors who serve as the primary point of contact for GW’s school and division leaders. In addition to providing strategic business advice and counsel, they oversee financial operations, budget and forecast along with communicating and monitoring university policies, procedures, and internal controls.
The Office of Real Estate is responsible for the oversight of all real estate for the George Washington University, including real estate investments valued in excess of $1.1B, five commercial office and medical office buildings and approximately thirty real estate leases. The Office of Real Estate (ORE) is responsible for development and implementation of real estate strategic initiatives including acquisitions, dispositions, and other real estate related transactions. The ORE is responsible for the overall documentation, reporting, and financial management of the University’s real estate activities on the university’s campuses in Washington, DC and Ashburn, Virginia.
The Administrative Associate position requires the ability to manage multiple tasks with competing priorities. Using an elevated level of discretion and independent decision making, this position will provide enhanced administrative support to one or more individuals. This position manages daily administrative activities, coordinates schedules, maintains calendars for assigned staff, prioritizes and arranges meetings, conferences, and appointments. This position researches and gathers data for preparation of reports used in meetings and presentations (e.g. drafts letters, memos, minutes, documents, and other applicable university forms), and creates agendas for staff and committee meetings. This position maintains content for applicable websites, the departments’ network shared drives, and other online applications. This position reviews internal and external contracts and agreements, audits for completeness, and readies for signature by university officials. The Administrative Associate maintains, organizes and manages appropriate records and files, instituting or enforcing accountability and confidentiality procedures. This position coordinates and facilitates onboarding logistics for new employees (e.g. computer, printer, phone, trainings, access, etc.), makes and reconciles authorized purchases, oversees the coordination of requisitions, travel arrangements and reimbursements, prepares invoices, deposits, and expense reports as necessary. This position provides support to operations and university systems, assists in coordination of the annual performance review and goal setting process, and oversees relevant payroll tasks including timesheets and leave tracking.
Real Estate Operations specific support:
  • Periodically draft letters to tenants (non-compliance, changes in venue operating hours, etc.)
  • Manage the department’s email account. Use knowledge of activities to answer request or forward to the appropriate person.
  • Research real estate information available on DC government and other websites.
  • Ensures accurate filing of real estate transaction documents such as: closing binders, deeds, lease records landlord-tenant contacts, property tax records, etc.
  • Review of vendor contracts and invoices for approval and processing. Upload and route documents through GW Procurement portal.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
