Job Description

DESCRIPTION:

This position is responsible for providing administrative support to the Director and Assistant Director of the Art Museum of South Texas. In addition, this position also supports the Museum’s Board of Trustees, Staff, Members, and Visitors.

RESPONSIBILITIES:  

  • May maintain office schedules and appointments
  • Use AMST’s database software for creating contact lists for special event donors, artists, vendors, ticketholders, sponsors, or other contributors
  •  Maintain in-house calendar of events.
  • Order office supplies.
  • Monitor central office equipment such as fax, copier, and postage machines.
  • Maintain employee contact information.
  • Answer phones and greet and direct visitors.
  • Use AMST’s database software to maintain updated board lists including contact information. Send notices and materials for meetings. Maintain minutes.
  • Sort, route, and record mail and receipts. Enter daily log of all receipts of cash or contributions and daily routing of mail.
  • Assist with fundraiser and special event mailings, attendee tracking, and ticketing.
  • Assist various departments for notices, letters, invoices, or other support.
  • Researches and analyzes administrative requirements for specific programs or projects. Provides technical information regarding administrative procedures, services, or programs.
  • Assists in the development of office procedures, including complex or specialized functions. Explains, applies, interprets, and communicates policies and procedures.
  • Maintains a variety of fiscal and administrative records.
  • Assists in the planning of special events. May set up meetings or other special events to include facilities, equipment, and food.
  • Coordinates the maintenance of files, records, office supplies, or equipment. Maintains office reference materials including online office materials. May deliver, pick up, or receive cash payments, documents, supplies, or materials.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • High School Diploma.
  • Four years of related experience.
  • Equivalent combination of education and experience:
    • Associate’s & 2 years of experience
    • Bachelor’s
  • Knowledge of word processing, spreadsheet, and database applications. Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Strong interpersonal and organizational skills. Strong customer service skills. Ability to work with sensitive information and maintain confidentiality.

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree
  • Museum experience
  • Experience with Blackbaud software
