Required Education and Experience:

  • High school graduation or any equivalent combination of education and experience.

  • Four years of experience in general office or clerical work.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Strong verbal and written communication skills.

  • Strong interpersonal and organizational skills.

  • Ability to work with sensitive information and maintain confidentiality.

Other Requirements:

  • May be required to work evenings or weekends occasionally.

Responsibilities:

  • Admin. Support - Provides administrative support for the Department Head and Executive Assistant for the Department Head. Performs word processing, spreadsheets, presentation, and data management activities. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Updates a multitude of departmental administrative webpages.

  • Immigration - Processes Immigration employment paperwork for J-1 cases for visitors and faculty members through the University Immigration Services for Faculty and Scholars office. Processes necessary paperwork for research positions (i.e.: research position posting form, RPA form, matrix, etc.). Serves as back up on H-1B and permanent residency cases for faculty members.

  • Files and policies - Maintains a variety of administrative records, confidential material which may include departmental personnel files. Researches and analyzes administrative requirements. Assists in the development and compliance of office procedures. Applies, interprets, and communicates A&M policies and procedures.

  • Facilities - Serves as coordinator for departmental equipment and annual inventory certification. 

  • Events - Assists in the planning of special events. May set up meetings, seminars, and other special events to include facilities, equipment, and food.

  • Faculty Support - Assists in arranging in-person interviews to College Station for tenure and tenure-track faculty positions. Typically has 15 to 25 interviews per year. This includes but is not limited to hotel reservations, airline and car rental reservations. Performs other duties as assigned.
