Job Description

The Administrative Associate IV for the Department of Fine Arts is responsible for providing clerical, administrative, and project support to the Department Head, faculty and staff. This position reports to the Department Head and works closely with all faculty and staff to ensure the efficient administration of the Fine Arts Department. This position maintains a current knowledge of appropriate policies, processes and procedures in an effort to assure the efficiency and integrity of the Fine Arts Department. Serves as primary point of customer service and administrative contact for current and prospective students. This position will often work on complex and confidential issues. Oversees and/or participates in the coordination, control, and completion of special projects and assignments that may include processing departmental employment, payroll, budgetary, travel, procurement tasks in multiple software systems. May serve on a variety of committees in a support capacity. Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate

Responsibilities:

30% Customer Service: Greets and directs visitors, current and prospective students and their families. Responds to concerns and inquiries, as appropriate, and supports the department using resolution techniques. Serves as a primary point of contact and liaison with other offices, individuals and team members on a range of issues. Creates a professional and welcoming environment for all.

30% Administrative Support: Provides administrative support for the Fine Arts Department under the direction of the Department Head. Provides support for the staff present in the office suite. Assists in the coordination of professional staff and student travel. Initiates and completes administrative processes associated with procurement, travel and employment (hiring adjuncts, payroll and termination) and some budget tasks. Coordinates multiple meeting room calendars and assists with the scheduling of meetings for the Department Head. Also, works with Department Head and Area Coordinators on the Fine Arts Department academic schedule.

25% Technology: Through usage, gains proficiency with Workday (Employee Services Software), Banner (Student Database Software), Canopy (Business Services Software), Concur (Travel and Procurement Software). Learns new software, as required, to fulfill the duties and responsibilities of the position. Demonstrates proficiency with Microsoft Office Suite.

15% Other Responsibilities: Establishes and maintains organized and efficient records for the Department. Responsible for the administration, security, and confidentiality of records and information. Creates and composes correspondence and documentation to support the needs of the department. Prepares a variety of reports, letters, memos and other written correspondence to effectively communicate departmental initiatives. Assists in the coordination, control and completion of special projects as requested.

Education and Experience:

High school diploma or equivalent combination of education and experience. Five years of administrative experience which includes ​accounting, payroll or customer service.

Knowledge, Skills and Abilities:

Outstanding customer service skills and ability to work collaboratively and harmoniously with individuals with varying backgrounds and experiences. Knowledge of word processing, spreadsheet, and database applications. Excellent written communication, analytical, and organizational skills. Ability to multitask and work cooperatively with others. Ability to work in a fast-paced environment. Ability to work with sensitive information and maintain confidentiality. Ability to work independently once given a project
