Job Description

Provides advanced level secretarial or administrative assistance on behalf of an academic department or major service unit within the university.; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate. 



Responsibilities:
45% Provides general support to the department head and coordinator associate department head in coordinating and assisting with departmental operations:

  • Schedules departmental meetings and appointments for department head

  • Maintains department budget sheets

  • Coordinates data collection for assessment

  • Prepares Small Class Justification forms, Faculty Load forms and Report A

  • Maintains departmental databases

  • Facilitates calculator rental

  • Provides assistance as necessary

15% Coordinates departmental enrollment operations:

  • Maintains enrollment records, including class rolls, course syllabi, final grades, final exams (as directed by departmental administration)

  • Provides student overrides, adjusts class limits, prepares section change paperwork, signs drop cards, places and removes advising holds, and coordinates submission of class rolls and semester schedules

  • Coordinates textbook orders for courses as well as obtaining evaluation textbooks or other course materials as requested

10% Provides general support to departmental faculty, students and other clients:

  • Answers phones

  • Responds to email inquiries

  • Maintains social media account

  • Coordinates and assists with outreach support

  • Prepares all travel documents for faculty

  • Schedules mathematics building facilities

  • Maintains grant budget sheets for faculty

  • Provides assistance and referral as necessary

10% Coordinates departmental purchasing operations:

  • Obtains purchase information and bids, prepares Requests to Purchase, utilizes state issued procurement card, checks in receipt of order, maintains packing list to authorize payment

  • Orders classroom, office and other supplies.

5% Hiring:

  • Assists in faculty and adjunct searches

  • Hires and supervises all student workers for department office

  • 5% Coordinates personnel/payroll operations:

    • Supervises student workers for department office

    • Maintains payroll and employment files for full- and part-time faculty, graduate assistants, and student workers

    • Maintains faculty/staff evaluation documentation including annual reviews and course evaluation data

    • Prepares necessary hiring/termination paperwork for faculty, graduate assistants and student workers

5% Acts as departmental liaison to other departments: prepares and disseminates departmental correspondence to other campus and off campus entities
5% Performs other duties as assigned including, but not limited to:

  • Yearly inventory of assets

  • Maintenance requests for the Mathematics building

  • Key requests

Education and Experience:

  • High school diploma or equivalent combination of education and experience.

  • Four years of related experience.


Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Effective verbal and written communication skills.

  • Strong interpersonal and organizational skills.

  • Ability to multitask and work cooperatively with others.

  • Ability to work with sensitive information and maintain confidentiality.

Preferred Experience:


  • Four years of general clerical or office experience.

The target base hourly rate is $13.94 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
