The Administrative Associate IV (Office Assistant) is an integral and key staff member in the overall operation and services provided by Residential Living.  This person serves as the first point-of-contact for students and families regarding departmental policies and processes.  The volume of calls and visitors can be very high, and the Office Assistant must be able to handle the pressure of the high traffic situations.

The Administrative Associate IV (Office Assistant) will work as support in the Office of Residential Living, working with a variety of software programs.  The Office Assistant will be asked to answer a multi-line phone system, routing calls, and forwarding messages.  This person will also greet customers, run reports, file paperwork, assist with exemptions, and other duties as needed.  Knowledge of Microsoft Office Suite is necessary and strong experience with Microsoft Excel and data entry is a plus.  Must be able to operate basic office equipment.  Previous residence hall/student housing experiences is preferred.  Applicants must be available to work year-round, including the academic break periods while the University is open.

Responsibilities:

  • Provide excellent customer service to all guests by greeting customers, assisting incoming guests, answering phones, and taking messages

  • Manage the housing email accounts and distribute emails accordingly

  • Assist with the processing of exemptions

  • Utilizing a university procurement card, manage and allocate department monthly expenses

  • Regularly update the deposit listings, occupancy, application numbers, and other assigned reports

  • Assist in training student staff as it relates to front desk operations

  • Manage and organize the filing system

  • Process withdrawals from the Registrar’s office

  • Maintain and organize NSO parent lodging

  • Assist in creation and distribution of information related to department processes and procedures

  • Perform word processing, desktop publishing, and data management activities, and assist staff with the use of these applications.  Compose correspondence, reports, publications, and the presentations including editing and proofreading

  • Assist with processing forms and paperwork (housing status changes, cancellations, meal plans, etc.) by utilizing Blackboard, StarRez, and Colleague; file forms when finished

  • Other duties as assigned.

Necessary Qualifications:

  • High School Diploma or equivalent combination of education and experience

  • Four years of related experience

  • Knowledge of word processing, spreadsheet, and database applications

  • Ability to multitask, work in a fast-paced environment, and work cooperatively with others.

  • Strong verbal and written communication skills.

  • Strong interpersonal and organizational skills.

  • Ability to work with sensitive information and maintain confidentiality.

Preferred Qualifications:

  • Working knowledge of StarRez, Colleague, and/or Blackboard
