Job Description

The Administrative Associate provides a broad and deep range of support services to the department of Psychology and Counseling and coordinates general business operations for the Department. The individual in this position must be able to exercise good judgement in decision making and have outstanding oral and communication skills. The position assists with budgetary accountability and controls, records management, inventory control, management, coordination, travel, other special assignments. This individual must have the ability to interact in a positive and professional manner with university administration, faculty, staff, students, the general public and public officials.

Responsibilities:

  • Provide skilled secretarial and administrative assistance through the performance of advanced and complex tasks for the Department of Counseling & Psychology. Exercise initiative and judgment in completing many routine and administrative duties. Serve as receptionist, greeting all office visitors using effective oral communication skills. Maintain and secure departmental files. Maintain a variety of fiscal, administrative, and academic records. Compose routine letters, memorandum, reports, and/or confidential matters for distribution or approval and signature, checking the documents for completeness and accuracy. Prepare agendas, assist in departmental meetings, and set and maintain appointment schedules of faculty. Monitor budgets. Order supplies. Communicate with community stakeholders and state entities, as directed. Coordinate the flow of incoming and outgoing communications by receiving, routing, and/or responding appropriately. Coordinate logistics for program and/or department events.
  • Perform records management of the office filing system by overseeing the filing system, creating files and records as necessary, updating files and records, determining retention and purging schedules, and retrieving files and documents as needed. Maintain and secure student files/records for the department programs, including electronic and/or hard copies. Set-up and/or maintain databases.
  • Interact with departmental faculty and staff, other university personnel, students and the public in providing information and referral, serving as departmental representative, and responding to a variety of needs and requests. Oversee student workers as assigned.
  • Contribute to the overall success of the University by performing other essential duties and responsibilities as assigned.

Minimum Requirements

Education – High school diploma or equivalent combination of education and experience.

Experience – Four years of related experience.

Knowledge of – Knowledge of word processing, spreadsheet, and database applications.

Ability to – Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Strong interpersonal and organizational skills.  Ability to work with sensitive information and maintain confidentiality.
