SUMMARY:

The Administrative Associate III, under general supervision, provides complex administrative support work.

DUTIES & RESPONSIBILITIES:

  • Assists with non-student memberships to the Morris Rec Center, using the membership software Fusion. This includes data entry, running reports, reaching out to members for renewals or questions, and helping to train Member Services student staff.
  • Processes all department student employees (130+) in Workday, including hiring, promotions, PIN’s, and terminations. Tracks student employee contact information for the department.
  • Oversees reporting and correction of Pro Card reports by professional staff before submitting to the director.
  • Assists with data entry of department facility reservations in EMS.
  • Creates and submits daily deposits for the department. Greets visitors, answers and screens calls, provides information and referrals, and schedules appointments. Receives, sorts, and routes mail and performs other mail services.  
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
  • Gathers information for reports for the department, division, and outside agencies such as NIRSA. Verifies, processes, and reviews forms, reports, and other documents.
  • Makes arrangements for meetings, appointments, conferences, and travel.
  • Maintains office supplies and equipment. Maintains office reference materials including online office materials. May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
  • Serves as the liaison for administrative equipment and service contracts such as Xerox.
  • Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, including editing and proofreading.
  • May participate in the hiring, training, and supervision of student workers and other support staff. 
  • May assist with departmental special events.

MINIMUM REQUIREMENTS:

  • Education: High school diploma or equivalent combination of education and experience.
  • Experience / Knowledge / Skills: Three (3) years of related experience. Knowledge of word processing, spreadsheet, and database applications. Effective verbal and written communication skills.
  • Ability to: Ability to multitask and work cooperatively with others.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Bachelor’s degree preferred or equivalent combination of post-secondary education (Associate’s degree). Prior experience in higher education. Knowledge of Workday, Fusion, Concur and Texas A&M University-Commerce, policies and procedures.

SUPERVISION OF OTHERS:

May supervise and assist with training student workers.
