Job Description

Essential Duties and Responsibilities

  • Staff support – Performs support duties to assist licensing staff. Serves as the travel coordinator for all department staff which includes coordinating hotel, airfare, and event registration, preparing itineraries and submitting travel expenses for reimbursement. Schedules meeting and appointments for staff, to include as necessary preparing agendas and other paperwork for meetings, and reserving facilities and ordering food or refreshments for meetings.  Maintains conference room calendars and coordinates conference calls. Handles conference room setup and cleanup for meetings, which also includes set up of media resources needed for presentations. (35% time)
  • General office support – Answers phone using multi-line phone system, routes calls and forward messages. Greets, assists and announces visitors. Processes incoming and outgoing mail. Scans and files documents. Processes mail-outs for office. Assists in annual inventory of office assets, verifying asset numbers, and location of equipment. Assists in ordering, organizing, and replenishing office and kitchen supplies. Assists in maintaining, organizing, and replenishing conference room supplies. Maintains electronic file organization for staff and monitors general office e-mail boxes.  (35% time)
  • Database and File support – Assists staff in updating disclosure and agreement information in database. Ensures that disclosure, agreement, and approval routings and other documentation is filed in LaserFiche. Assists staff in collection of information from files and coordination of information exchanges with Texas A&M Technology Commercialization and other AgriLife offices, as needed. (25% time)    
  • Other duties as assigned (5% time) 

Required Education and Experience: High school diploma or GED or an equivalent combination of training and experience plus an additional three years of related experience.

Preferred Education and Experience: Associate's degree and more than five years of experience in general office or clerical work.                           

Required Special Knowledge Abilities and Skills: Excellent verbal and written communication skills. Advanced skills in word processing, spreadsheet, database and other software. Advanced knowledge of business correspondence, formatting, grammar, and punctuation. Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.
