The Health Science Center (HSC) is looking for an Administrative Associate II to serve as a member of the Medical Physiology department. Required Education & Experience:

  • High School Diploma or GED

  • 3 Years of experience.

Required Special Knowledge, Skills, and Abilities:

  • Fluent in Word and Scheduling/Coordinating meetings and events. 

  • Ability to multi-task and work cooperatively with others

Preferred Experience:

  • 3 years of experience of administrative support

  • Experience working with diverse individuals and communities

Preferred Special Knowledge, Skills, and Abilities:

  • HR Liaison Training, knowledge of TAMU Systems Canopy, Concur, AggieBuy

Job Responsibilities

  • Provide Administrative support that includes maintaining Departments Head's calendar and proof reading and routing memos.

  • Use initiative in facilitating daily office support activities on the Bryan Campus to include; research and analyzes administrative policies for compliance; evaluate incoming and outgoing mail, correspondence, inquiries and distribute information or respond as needed; provide information regarding administrative procedures, services or programs at the HSC.

  • Assist in maintaining departmental website information.

  • Assist Project Coordinator II in helping faculty & staff in the use of applications used for word processing, presentations, spreadsheets, proofreading and editing correspondence related to publications, presentations and grant submissions.

  • Assist with maintaining inventory records and annual inventory review.

  • Coordinate preparation of seminar series, special events and guest travel to include scheduling conference rooms, ordering and set-up of food for meetings, guest hotel and air travel reservations, preparing and disseminating seminar flyers and itineraries.

  • Support Project Coordinator II with preparation of new employee personnel documents and visitor/staff on H-1B, J-1 visas or Visiting Researchers/Scholars documents.

  • Act as Human Resource Liaison to provide support in all aspects of Human Resources at the department level.

  • Assist business staff with processing orders, receiving and payment of invoices through AggieBuy, process employee travel through Concur.

  • Performs other duties as assigned. Ability to multitask and work cooperatively with others.
