Job Description

The Administrative Assistant III provides clerical and administrative support to the staff of the International Affairs Office in its day-to-day operations.


Responsibilities:

  • Prepares and distributes correspondence and program materials; assists with scheduling and planning meetings and various International Student Services activities; creates and maintains files and databases; tracks and assembles program data; and prepares spreadsheets.

  • Interacts with International Students to assist with office visits, student requests, and various inquiries. Interacts and coordinates with sponsors and sponsored students regarding housing,  billing, and multiple inquiries. Answers general questions about International Student Services and responses to emails, telephone, and in-person inquiries.

  • Makes travel arrangements; utilizes PVAMU accounting processes and systems to achieve office objectives.

  • Assists with program-related research as directed; assists with special projects.

  • Perform other duties as assigned.


Required Education & Experience:

  • High school diploma

  • Three years of related experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Strong verbal and written communication skills.

  • Ability to work with sensitive information and maintain confidentiality.

  • Strong interpersonal and organizational skills.

Preferred Knowledge, Skills and Abilities:

  • Some College

  • Experience working in public sector higher education.

  • Experience traveling abroad. Experience working with diverse populations and a variety of constituents.

  • Strong interpersonal skills.

  • Customer service oriented.

  • Ability to communicate effectively verbally and in writing.

  • Ability to take initiative, work independently and to seek guidance when appropriate.

  • Excellent judgment in handling confidential matters and information, discretion and diplomacy.

  • Ability to work on multiple tasks and meet deadlines.

  • Attention to detail and accuracy in work.
