Job Description Summary: The Administrative Associate III within the Office of Academic and Faculty Affairs in the College of Nursing works under the supervision of the Academic Assessment and Evaluation Manager. This role serves as the receptionist for the front lobby area and provides administrative support for faculty.

Required Education and Experience:

  • High school diploma or equivalent combination of education and experience.
  • Three years of related experience

Required Knowledge, Skills and Abilities:

  • Knowledge of word-processing, spreadsheet, database, and presentation applications. 
  • Ability to multi-task and work cooperatively with other.
  • Strong verbal and written communications skills.
  • Ability to work with sensitive information and maintain confidentiality.
  • Strong interpersonal and organizational skills.
  • Ability to perform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and TAMU guidelines.

Preferred Experience:

  • Three or more years experience in office administration. Five years experience in higher education.

Preferred Knowledge, Skills and Abilities:

  • Problem solving, oversee logistics and final details of multiple projects.
  • Excellent verbal and knowledgeable writing skills.
  • Event planning experience and ability to organize effectively. 
  • Ability and willingness to work as a team member and to work independently.
  • Experience working with diverse individuals and communities.

Job Responsibilities: 

  • Greets visitors as soon as they arrive and connects them with the appropriate party.
  • Answers the phone in a professional, consistent, and timely manner and directs calls to the correct offices.
  • Provides general information and referrals.
  • Participates in the planning and execution of administrative operations in the office of academic and faculty affairs. 
  • Provides administrative support the Academic Assessment and Evaluation Manager and assigned faculty.
  • Duties include, but are not limited to supporting functions for class, classroom, and exam scheduling, student and cohort tracking and planning.
  • Supports processes for the collection and maintenance of student and faculty outcome data for accrediting and regulatory compliance.
  • May assist in training student workers and other support staff.
  • Monitors office procedures.
  • Develops, evaluates, and ensures adherence to administrative and technical procedures.
  • Provides support for assigned faculty members, including but not limited to, support for instructional materials, assisting in compiling promotion and tenure dossiers and grant activities support.
  • Coordinates meetings, records meeting minutes, and tracks the completion of tasks for assigned committees.
  • Assists in providing logistical and administrative support for faculty and staff retreats, events, meetings, and other special functions for the College.
  • Reviews documents for supervisor.
  • Performs special analyses and project summaries.
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
  • Coordinates the maintenance of files and records.
  • Performs data entry and retrieval and maintains data files.
  • Prepares and proofs materials for reports and other publications. 
  • Prepares, modifies, and verifies documents.
  • Supports office records retention and maintenance of office references and resources materials.
  • Complies with record retention policies and procedures.
  • Serves as a backup for data entry in to the workload database system utilized for tracking workload units assigned to faculty for teaching, scholarship, service, and special projects.
  • Collects and compiles tracking and assessment data, under the direction of the  Academic Assessment and Evaluation Manager. 
  • Collects and maintains employment data for former students for accreditation and assessment of academic programs. 
  • Analyzes requirements for projects and initiatives and contributes to their planning and implementation.
  • Assists on special projects as needed for the College. Serves on committees as assigned.
  • Other duties as assigned
