Provides secretarial or administrative assistance on behalf of an academic department or major service unit within the university; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate.


Responsibilities:
35% Provides general support to the department head in coordinating and assisting with departmental operations: schedules departmental meetings and appointments for department head; maintains department budget sheets; coordinates data collection for assessment; prepares Small Class Justification forms, Faculty Load forms and Report A; maintains departmental databases; and provides assistance as requested and necessary. Coordinates the application process, admissions, Program Preview and Orientations for various departmental programs. May include typing, mail merge, Excel and Word.


15% Coordinates departmental enrollment operations: maintains enrollment records, including class rolls, course syllabi, final grades, final exams; (as directed by departmental administration) provides student overrides, adjusts class limits, prepares section change paperwork, signs drop cards, places and removes advising holds, and coordinates submission of class rolls and semester schedules. Coordinates textbook orders for courses. Typing, mail merge, Excel, and Word may be required.

10% Reception: Answers the telephone, and directs calls.

10% Provides general support to departmental faculty, students and other clients: answers phones; responds to email inquiries; prepares all travel documents for faculty; schedules mathematics building facilities; maintains grant budget sheets for faculty; and provides assistance and referral as necessary. Scheduling, program information, program brochures.

10% Coordinates personnel/payroll operations: maintains payroll and employment files for full- and part-time faculty, graduate assistants, and student workers; maintains faculty/staff evaluation documentation including annual reviews and course evaluation data; and prepares necessary hiring/termination paperwork for faculty, graduate assistants and student workers. Hires and supervises student workers for department office.

5% Provides administrative assistance including assistance with clinical sites and scheduling.

5% Coordinates departmental purchasing operations: obtains purchase information and bids, prepares Requests to Purchase, utilizes state issued procurement card, checks in receipt of order, maintains packing lists to authorize payment; and orders classroom, office and other supplies.

5% Acts as departmental liaison to other departments: prepares and disseminates departmental correspondence to other campus and off campus entities.

5% Performs other duties as assigned.


Required Education and Experience:
High school diploma or equivalent combination of education and experience; Three years of general clerical or office experience.

Required Knowledge, Skills and Abilities:

Knowledge of word processing, spreadsheet, and database applications. Effective verbal and written communication skills. Strong interpersonal and organizational skills. Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality.
