The Global Health Research Complex is seeking an Administrative Associate II who will provide general office reception; perform routine administrative support for facility staff; and provide logistical support for meetings and other activities.  The successful candidate will have an associate’s degree in a related field and have five years of experience in general office or clerical work. We seek to hire a team player who will promote collaboration and cooperation while working within a team. We need an individual who subscribes to and supports our commitment as stated above. Required Education and Experience:

  • High School degree or any equivalent combination of education and experience
  • Two years of experience in general office or clerical work

Required Knowledge, Skills and Abilities:

  • Ability to oversee logistics and fine details of multiple projects
  • Ability to multitask and work cooperatively with others
  • Excellent verbal and written communication skills with the ability to communicate clearly and effectively to ensure understanding

Preferred Education and Experience:

  • Associate’s degree
  • Five years of experience in general office or clerical work

Preferred Knowledge, Skills, and Abilities:

  • Ability to cultivate and maintain professional working relationships with people of diverse backgrounds

Responsibilities:

  • General Office Reception and Administrative Support - Performs daily office support activities to ensure efficiency and effectiveness for the office. Supports staff with general operations tasks. Maintains positive and professional staff and client relationships. Welcomes and greets office guests. Answers phones in a professional manner and direct calls to appropriate persons or takes detailed messages. Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Sorts and routes all incoming mail. Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies. Receives incoming packages and routes to appropriate location. Assists with recycling of materials to include breaking down boxes and taking to the dumpster. Maintains kitchen/break-room cleanliness and stocking of supplies.
  • Scheduling and Logistics - Schedules conference rooms, video conferencing, and other office related events. Makes arrangements and provides logistical support for meetings, appointments, conferences, and trainings, including location, food, parking and travel arrangements.
  • Equipment and Supply Inventory - Monitors and maintains office equipment. Repairs or replaces malfunctioning equipment and submits work orders for repairs as appropriate. Maintains inventory of office supplies. Orders and re-stocks as needed. Handles maintenance issues for Xerox copier/printer and orders Xerox supplies for the machine.
  • Other - Performs other duties as assigned.
