The Administrative Associate II, is responsible for all duties related to the front office, such as assisting faculty, staff and students with various duties, answering the main line, maintaining equipment and supply inventory, assisting employees and students with various needs, and assist with meetings, seminars and special events. Required Education and Experience:

  • High School Diploma or any equivalent combination of education and experience
  • Two years of experience in general office or clerical work

Required Knowledge, Skills and Abilities:

  • Ability to use a computer, various processing software and working knowledge of Excel
  • Ability to multi-task and work cooperatively with others as well as faculty, staff and students in an educational setting
  • Interpersonal and communication skills

Preferred Education and Experience:

  • Associates degree
  • More than three years of experience in general office or clerical work

Responsibilities:

  • Greets all visitors to the department, answering the main phone line and directing calls to appropriate personnel
  • Evaluates incoming mail and logging of packages received, correspondence, and inquiries, prepares air-bills for letter/packages sent via FedEx
  • Assists in problem solving for office activities, maintains and orders office supplies and special orders for department employees
  • Maintains paper supply for main copiers and fax machine as well as office and student lab supplies; Maintains key inventory for the building offices.
  • Receives and logs in department invoices, using Excel, acquires signatures, scans and sends to AP department for processing
  • Makes travel arrangements for faculty candidates and other departmental visitors as well and field trip arrangements as needed
  • Assists departmental staff with planning of meetings, seminars, and other special events; may include serving as hostess or greeter for the event.
  • Provides assistance to faculty with preparation for functions; performs other duties as needed.
