The Health Science Center (HSC) is looking for an Administrative Associate II to serve as a member of the Administrative support team. We desire an individual who subscribes to and supports our commitment as stated above. The successful applicant will bring an expert level of administration experience to the position and understand the demands of supporting executives in a fast-paced environment. This person must be professional, enjoy working in a high-volume environment and be able to apply strong organizational skills while being flexible in their daily routine. Required Education and Experience:

  • High school diploma or equivalent combination of education and experience.
  • Two years of related experience.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others. Effective verbal and written communication skills.

Preferred Experience:

  • Office support experience in higher education, knowledge of document creation software (such as Adobe Acrobat), knowledge of teleconferencing (such as Zoom), and efficient Microsoft Office suite skills (such as Outlook: email, calendaring, web browsing, and task managing).
  • Experience working with diverse individuals and communities


Responsibilities:

  • Performs responsibilities in support of the department including but no limited to maintaining and purchasing office supplies and equipment, maintain office reference materials including online office materials, delivers and pick. up documents, supplies ,equipment or materials.
  • Greets department visitors, answers and screens calls, provides general information and referrals, and schedules appointments, reserve visitor parking.
  • Support Receives, sorts, and routes mail and performs other mail services.
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies
  • Makes arrangements for meetings, student events, workshops, and travel.
  • Performs data entry and retrieval and maintains data files.
  • Prepares and proofs materials for reports and other publications.
  • Processes reimbursement requests through the appropriate channels. and follow through to completion.
  • Assists in developing and printing of flyers/brochures for recruiting an advertising for all Epidemiology& Biostatistics programs.
  • May participate in the hiring, training, and supervision of student workers and other support staff.
  • Performs other duties as assigned
