What we want 

The Health Science Center (HSC) is looking for an Administrative Associate I to serve as a member of the Coastal Bend Health Education Center team. We desire an individual who subscribes to and supports our commitment as stated above. The successful applicant will bring an entry level of administrative support work to the position and understand the demands of supporting executives in a fast-paced environment. This person must be professional, enjoy working in a high-volume environment and be able to apply strong organizational skills while being flexible in their daily routine. Job Summary: Works under supervision and performs entry-level administrative support work.

Required Education and Experience:

  • High School diploma or equivalent combination of education and experience.
  • One year of experience.

Required Knowledge, Skills, and Abilities:

  • Strong communication and organizational skills.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Use of standard office equipment.
  • Effective verbal and written communication skills.
  • Ability to multi-task and work cooperatively with others.
  • Ability to perform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and HSC guidelines.

Preferred Education and Experience:

  • Associate Degree
  • More than three (3) years of experience in general office or clerical work
  • Experience working with diverse individuals and communities

Preferred Special Knowledge, Skills, and Abilities:

  • Bilingual – English/Spanish.
  • Microsoft Office Suite.

Other Requirements or Other Factors

  • May be required to work after normal office hours and on weekends.
  • Travel is required. Must be able to travel to different locations.
  • Light to moderate lifting required (up to 20 lbs.)
  • Health Insurance Portability and Accountability Act (HIPAA) training is required in accordance with TAMUS policy.

Preferred Other Factors

  • Security-Sensitive position and finalist subject to a criminal history background check.
  • Strong ability to work with diverse low-income population.

Job Responsibilities

  • Provides secretarial and administrative support to the Diabetes Education Program.
  • Travels to various locations for program activities.
  • Answers telephone and screens general callers; refers to appropriate staff member; takes thorough messages; calls to schedule patients to sign up for classes and calls to remind patients to attend classes; calls past patients to remind them of follow-up appointments; calls patients who fail to come to class and/or follow-up and schedules them for a later date.
  • Assists with preparing packets for diabetes educational classes/programs/presentations; prepares reports regarding patient class and follow-up attendance.
  • Prepares presentation and communication materials for meetings; makes logistical arrangements for meetings, seminars, and other special events.
  • Transcribes, proofreads, corrects, and produces in final form, letters, forms, manuscripts, flyers or brochures, reports, and tables; assists with applications such as spreadsheets and data management.
  • Places supplies orders and maintains inventory of office supplies, medical supplies, and food for classes.
  • Opens, sorts, and distributes mail, maintaining confidentiality.
  • Bundles outgoing mail.
  • Mails notices to patients for class.
  • Mails letters to physicians for patients attending classes
  • Other duties as assigned.
