The Administrative Associate I is responsible for project administrative support work including general administrative support, managing office and research supplies and maintaining inventory of research supplies, shipping and receiving packages, and deployment.

Compensation will be commensurate to selected hire’s experience.

Other Requirements or Factors: Should be able to work on a flexible schedule, accommodating unanticipated schedule changes beyond normal business hours or on weekends, including overnight travel.

Required Educations and Experience:

  • High school diploma or equivalent combination of education and experience

  • One year of experience in general office or clerical work.

Required Licenses and Certifications:

  • Valid driver’s license or the ability to obtain one within 30 days of employment

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Excellent interpersonal and communication skills

  • Ability to multi-task and work cooperatively with others.

  • Able to accommodate unanticipated schedule changes

  • Work beyond normal offices hours and/or work on weekends.

Preferred Qualifications:

  • Experience in packaging and shipping

  • Experience assisting professionals in academic settings

  • Experience with general office procedures including filing, organizing, and searching for materials

Responsibilities:

  • General Administrative Support: Provides administrative support. Responds to general emails and calls. Assists with book shelving and filing documents. Assists with preparing purchase orders with vendors and procuring supplies. Assists with moving and retrieving materials. Assists with training student workers. Plans and coordinates meetings and activities.

  • Logistics and Inventory Management: Manages office and research supplies and maintains inventory. Prepares and packages materials. Ships, delivers, receives, picks up and stocks materials. Manages the shipment and receipt of all products, materials, and supplies. Tracks, traces, and updates the status of incoming and outgoing shipments.

  • Deployment: Assists with planning itineraries. Drives a vehicle to transport PI or supplies to and within the deployment area. Performs other duties as assigned.
