Administrative Associate I - Employee Services

Texas A&M Forest Service (TAMFS) is seeking a highly motivated individual to be a part of the Employee Services Team in the Employee Development Department. This individual will work under general supervision and provide daily administrative office support work and actions for the Employee Services Team as well as helping the Team Leader with HR-related actions.

Responsibilities:

-Greets visitors, answers and screens calls and provides information and referrals for internal and external customers.

-Conducts daily office support activities and administrative interactions. Assists in the coordination of daily work flow with information of a sensitive and confidential nature for the Administrative Coordinator, the Human Resources Manager and other applicable offices. Will work in the Workday HRIS system on a daily basis. Assists other staff as needed.

-Applies, interprets and communicates TAMFS rules, administrative procedures and guidelines.

-Maintains applicable fiscal, personnel, awards and training records. Verifies, processes and reviews forms, reports and other documents in both paper and electronic formats. Coordinates with Payroll Department on personnel actions and timekeeping records and adjustments as required.

-Is responsible for processing procurement and travel card statements for members of the Employee Development Department. Maintains fuel logs and processes fuel bills. Process other purchase order invoices as needed. Perform related actions in FAMIS.

-Works in coordination with the other Employee Service team members to maintain a centralized personnel file room with both paper and digital copies.

-Maintains office supplies, equipment and the work room. May order or receive documents, supplies, equipment or materials.

-Serves as a liaison for departmental equipment and service contracts.

-Coordinates travel arrangements, logistics and related support for conferences, meetings, and similar activities.

-Corresponds and assists prospective, current and retired agency employees.

-Receives, sorts and routes mail and performs other mail services.

- Other duties as assigned.

This is a security-sensitive position.  The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations.  The individual is required to handle PHI in accordance with A&M System's policy and is further required to complete HIPAA training as a condition of employment, within a reasonable time frame after the individual's employment and on an as-needed basis thereafter.

Education and Experience:

Required Education : High school diploma or equivalent combination of education and experience.

Required Experience : Minimum of one (1) year of office and customer service experience.

Knowledge, Skills, and Abilities:

Required Knowledge : Core Microsoft Office applications (Word, Excel).

Preferred Knowledge : Practical knowledge of Workday management applications, Laserfiche efiles, FAMIS/Canopy for bill paying and accounts maintenance. TAMFS fiscal and administrative procedures and of relevant A&M System policy and regulation.

Required Skills : Effective verbal and written communication skills. Good interpersonal and organizational skills. Detail oriented.

Required Abilities : Work in a high stress environment with sensitive information and maintain confidentiality. Work independently with some assistance for non-routine tasks. Multi-task and work cooperatively with others.

Registrations, Certifications and Licenses:

Required : Valid Texas Driver's License or ability to acquire one within 30 days of hire.

Preferred : Certificate of training in clerical of office knowledge, skills and abilities.
