Position Overview

The Administrative Associate for the Information Technology Department (KU IT) at the University of Kansas is a critical role responsible for providing comprehensive administrative support to ensure the efficient operation of the department.  The Administrative Associate will work closely with KU IT directors, departmental staff, and external stakeholders to facilitate the effective delivery of IT services and support.  This position reports to the Executive Assistant and works closely with departmental staff, faculty, students, and external stakeholders to facilitate the effective delivery of IT services and support.  In addition to supporting KU IT, the administrative assistant will be expected to fulfill the duties of the Executive Assistant in their absence.

Job Description

60% - Administrative Support

  • Provide high-level administrative support to KU IT, including managing calendars, scheduling appointments, and coordinating internal events. 
  • Assist in the preparation and distribution of month KU IT All Staff presentations utilizing a keen eye to detail, communication, and organization. 
  • Work closely with KU IT leadership as well as external vendors and stakeholders across campus. 
  • Assist with procurement activities, including purchasing office supplies, special request equipment, and maintain inventory records. 
  • Coordinate departmental events, retreats, and training sessions, including logistical arrangements and communication with participants. 
  • Supervise student hourly office assistant position. 
  • Support the Executive Assistant in their absence by managing their schedule, prioritizing tasks, and handling confidential information with discretion. 
  • Collaborate with Departmental staff to ensure smooth operation and coordination of administrative activities.

20% - Reception Duties

  • Perform general office duties such as answering phones, responding to inquiries, processing incoming and outgoing mail.
  •  Handle incoming and outgoing correspondence, including emails, letters, and packages, while prioritizing and distributing them accordingly. 

20% - Other Duties as Assigned

  • Perform other duties as assigned to support the overall mission and goals of KU IT and the University of Kansas.

Required Qualifications

  • High School diploma or completion of G.E.D. equivalency.
  • Two years of experience in administrative and clerical support work OR two years of post-secondary education.
  • Excellent written and verbal communication skills as evidenced in application materials and interview process.

  • Preferred Qualifications

  • Associates or Bachelor’s degree in business, communications, English, or related field.
  • Knowledge of or experience with KU's administrative policies and procedures.
  • Experience working for the University of Kansas.
