Description:
The Administrative Associate will be responsible for providing support to the Disability and Human Development business office. Primary duties will include assistance with contracts and reporting activities, management of physical inventory, maintenance of key distribution records, handling cash deposits, setting up purchase orders and managing other faculty purchasing needs. Complete day-to-day department operational needs using independent judgment.
Duties & Responsibilities:

  • Business, fiscal, and/or administrative operations
  • Assists with contract management; participate in contract negotiations and/or preparations.
  • Acts as a technical and administrative resource for college needs.
  • Collaborates with unit for reporting activities; aids in providing detailed data analyses and comprehensive reports.
  • Manage Physical Inventory:
  • Complete Department Biennial Inventory
  • Maintain and update department inventory via FABweb
  • Manage inventory transfers and disposals
  • Creating Purchase Orders:
  • Act as subject matter expert regarding purchasing operations
  • Provide guidance on the appropriate mechanism to procure goods and services for budgeted purchases
  • Create purchase requisites via Contracts+ and Banner
  • Processing Cash Deposits:
  • Assist department units with processing cash and check deposits
  • Inform department personnel of University cash handling best practices
  • Provide department units with cash reconciliation when needed
  • Manage Building Operations:
  • Maintain department key inventory
  • Submit requests for new and replacement keys as well as lock changes
  • Submit and oversee building work orders.
  • Position will expand and adapt to new initiatives/programs created that fall within its purpose
  • Perform other related duties and participate in special projects as assigned

  • Minimum Qualifications Required:
  • Bachelor's degree in business administration, management, or a field related to the position.

  • Two (2) years of professional business, financial, and/or managerial work experience.
    (NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

  • Demonstrated experience performing research or research management.

  • Preferred Qualifications:
    • Certified Research Administrator (CRA) certification
