The Department of Earth System Science’s (ESS) goal is to understand, predict, and respond to human-caused and natural environmental change at local to global scales. ESS includes a large and growing graduate student and postdoc community.

The Department is looking for a talented Administrative Associate to join our team to provide a full range of support to the faculty, and their research groups. We are seeking an adaptable, self-possessed, and organized Administrative Associate who enjoys providing friendly and efficient support. 

The Administrative Associate will be responsible for a wide range of administrative duties, including planning, organizing events; front desk customer service; performing a variety of financial transactions; coordinating travel; creating and editing web content; managing equipment, supply, and operational logistics; and supporting department activities as needed. We are looking for an Administrative Associate who will work effectively both independently and as part of our team.

Your Responsibilities will include:

  • Coordinating department seminar logistics and community building events. Independently handling event details including coordinating with vendors, securing venues, and providing on-site event support.
  • Helping to create and maintain a welcoming environment for faculty, students, postdocs, and staff. 
  • Ordering supplies, such as food, drink, and office essentials, keeping all areas clean, and well organized.
  • Communicating with internal and external audiences, including students, alumni, faculty, staff, and possible program applicants.
  • Processing a variety of complex financial transactions for faculty and their research groups: TCard, PCard, expense reimbursements, and purchase orders. Monitoring and resolving discrepancies, while adhering to University policy.
  • Working with team/staff members to provide support for other projects as assigned.

To be successful in this position, you will need the following minimum qualifications: 

Education & Experience:

High school diploma and four years of administrative experience, or combination of education and relevant experience.

Knowledge, Skills, and Abilities:

  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing projects.
  • Excellent organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.

In addition, our preferred requirements include:

  • Experience with event planning.
  • Familiarity with Stanford University systems, policies, and practices.
  • Proficiency with Microsoft Office applications (Excel, Word) and web content management, and demonstrated ability to learn new computer systems and applications.


PHYSICAL REQUIREMENTS:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $33.17 to $43.75 per hour.
