General Surgery is the largest division in the Department of Surgery. The Division of General Surgery at Stanford School of Medicine and particularly the TECI (Technology Enabled Clinical Improvement Center) is seeking an Administrative Associate 3. The AA3 will work under the supervision of Division Manager and of an internationally recognized surgeon scientist who has received numerous medical and engineering awards for her research on the use of sensors to quantify hands-on clinical skills.
This position requires an individual who can work independently and with minimal direction in performance of their duties.
- Acting on behalf of faculty to establish priorities and identify and resolve problems that are administrative in nature.
- Overseeing and/or performing duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.
- Composing and drafting documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking.
- Planning and scheduling calendars with limited consultation, resolving calendaring conflicts, and arranging travel in compliance with department, university, and sponsor policies.
- Creating reports and spreadsheets which may utilize specialized software and systems.

DESIRED QUALIFICATIONS:
- Bachelor’s Degree preferably in education, biology or other basic science, or related area relevant to the research.
- Experience in simulation and medical education; including in an undergraduate setting.
- Experience organizing, overseeing, and executing research protocol for data collection.
- Experience working on a healthcare research project from inception to final report, medical simulation experience preferred.
- Advanced problem-solving skills.
- Project management experience is preferred.
- Familiarity with methods for collecting data on workflow, working conditions and technology perceptions in a medical setting is highly desirable.
- Must have demonstrated ability to work independently, with little or no guidance.
- Must have demonstrated ability to work collaboratively and professionally with students, faculty, physicians and other medical personnel.
EDUCATION & EXPERIENCE (REQUIRED):
- High school diploma and four years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
- Advanced computer skills and demonstrated experience with office software and email applications.
- Demonstrated success in following through and completing projects.
- Excellent organizational skills and attention to detail.

- Ability to take initiative and ownership of projects.

PHYSICAL REQUIREMENTS*:
- Constantly perform desk-based computer tasks.
- Frequently sitting.
- Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
- Rarely twist/bend/stoop/squat, kneel/crawl.
