Hiring Salary: $19.67/Hourly 

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides complex administrative and clerical support for the Department of Pediatrics. This position serves as a liaison to the division for internal and external communications including interactions with practice plan staff, processing data entry transactions, managing supply ordering process, processing payables, maintaining division inventory status, and monitoring departmental expenditures including account ledger reviews.

 

DUTIES AND RESPONSIBILITIES

1.      Provides a wide range of complex office administration and support for assigned division while serving as principal contact and liaison with all University and external contacts to division.

2.      Develops, departmental systems and procedures and communicates policies and procedures to staff.

3.      Assists with coordination of faculty recruitment, faculty certification and promotion processes.

4.      Coordinates electronic reconciliation of monthly ledgers; investigates and alerts faculty of discrepancies; processes accounts payable/receivables including procurement card purchasing and reconciliation in line with University policy.

5.      Monitors budget including tracking account expenditures.

6.      Manages faculty calendars, including building/inputting on-call schedule.

7.      Arranges meetings, appointments, and travel. Coordinates division events, including conferences, seminars, and department routine meetings.

8.      Purchases and maintains inventory of supplies and equipment for office or lab.

9.      Routes phone calls, sends and receives mail, responds to e-mails as needed.

10.  Coordinates with PI to ensure accounts are approved and reconciled within University Policy.

11.  Compiles and analyzes data required for administrative and financial reports including GME-specific reports.

12.  Assists if needed with inquiries from pharmacies, insurance carriers, schools, and families, especially concerning prescriptions, refills, prior authorizations, school permissions, etc.

13.  Performs other duties as assigned.

 



Qualifications

 

MINIMUM REQUIREMENTS:  

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative experience; OR Bachelor’s Degree in lieu of experience. 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent organization, verbal, and written communication skills.
  • Excellent computer skills, including proficiency with Microsoft Office suite and use of database programs.
  • Ability to work independently and easily adapt to frequently changing priorities.
  • Ability to communicate in a professional manner with diverse levels of people and maintain a high degree of confidentiality.
