Position Details:

Summary of Duties:

The Administrative Assistant is responsible for performing a variety of high level, confidential administrative duties to support Cougar Health Services and the Assistant Vice Chancellor/Executive Director (AVC/ED). Duties include managing several calendars, including overseeing the AVC/ED’s complex calendar and coordinates meetings and events.
 

This position is responsible for taking minutes at various meetings and establishing and maintaining records and files. Composes, prepares, edits and proofreads correspondence, and creates presentations, agendas, forms and monthly department administrative reports as directed. This position is also responsible for coordinating and maintaining Policies and Procedures for the department and maintaining training records for employees Continuing Medical education and monitors compliance for mandatory trainings. Set- up of office and meeting room equipment when necessary. Responsible for handling and processing mail.
 

Provides broad support to the leadership of CHS and collaborates with internal and external partners as a representative of CHS in a way that supports our mission of contributing to student success and which reflects and promotes an attitude of inclusion, diversity, access, and equity.

Required Qualifications:

  • High School graduation or equivalent AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work; OR equivalent education/experience.

  • Experience with record keeping.

  • Proficient in producing work with a high attention to detail.

  • Excellent written and oral communications skills.

  • Proficient in the use of Microsoft Office software including Word, Excel, PowerPoint, and Outlook.

  • Must have, or be able to obtain by time of hire, a valid driver’s license.


Preferred Qualifications:

  • Proficient and competently able to proofread a wide variety of documents.

  • Experience editing a variety of complex documents.

  • Proficient in creating and editing spreadsheets and other databases.

  • Experience with creating fillable pdf forms and other pdf documents.

Monthly Salary:

$3,376 - $4,497 | Range 40 (Steps A-M) | Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28 .
