Job Summary:

Under general supervision, provides administrative support to the Department of Theatre and Drama, including support to the Chair and all faculty and staff of the department.


Responsibilities:
Provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities.
  • 20% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
  • 10% Prepares and audits complex records, edits documents, and reviews work done by others
  • 10% Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • 20% Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 10% Assist staff as needed (with purchasing, travel, reimbursement and more)
  • 10% Purchases departmental equipment and supplies

Tasks:
  • Serve as first point of contact for individuals and groups, providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities
  • Assist with meeting logistics and resources, post meeting agendas, record, prepare, and distribute meeting minutes
  • Assist with distribution, collection and tracking of keys as requested, and other general office support to the department
  • Order office and departmental supplies through appropriate vendors. Purchase/pay for departmental or individual expenses (i.e.: department events, research equipment, conference costs, travel, etc.). Collect, prepare, & submit required documents.
  • Assist with new hire documentation, benefits open enrollment process, onboarding, personnel files, event planning
  • Chair's Assistant responsibilities:
    Work on special projects as assigned by Chair or Dept. Administrator
    Assist with organizing prepared documents for tenure Divisional Committee review
  • Serve as back-up in HR systems as needed.
  • General communication - Display, post or distribute any posters, articles, awards, or urgent communications for staff and/or students etc.

Education:

Preferred
H.S. Diploma or Bachelor's degree 


Qualifications:

Minimum work experience or training in administration area(s) of at least one year is required.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location, with some exceptions.

Minimum $19.50 HOURLY
Depending on Qualifications
Paid on a bi-weekly schedule on an hourly basis.
