Job Summary | The Department of Linguistics is looking for an energetic, dependable, and organized person to join our team. In addition to working in a team environment this person must also be able to work independently and efficiently. The Administrative Assistant will be the face of the department and must possess excellent customer service skills. This position provides a creative outlet in that the qualified person will be able to design our newsletters, brochures, flyers, etc. The position will also be a huge support to the Administrative Manager, the Academic Advisors, and the Student Support Specialist. |
Responsibilities | Job Functions 1. Assists department with business planning and goal setting. 2. Provides administrative support to Dept. Chair, Admin Manager, Student Support Specialist, and Academic Advisors. 3. Prepares correspondence, including composing routine letters and memos. 4. Provides additional general office support such as greeting and directing visitors, handling incoming calls and processing mail. 7. Coordinates the collection and preparation of operating reports. 8. Assists with the implementation of department and University policies and procedures. 9. Provides administrative support to upper level department management by scheduling appointments, coordinating meetings and conferences and maintaining and ordering office supplies. Minimum Qualifications | Associate degree in business or equivalency (2 years related work experience may be substituted for 1 year of education) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred. Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description. |
Preferences | Ability to work independently and set priorities, utilize time efficiently, and perform well under pressure. Must be a team player – willing and able to assist other staff members. Excellent secretarial and organizational skills, including high level of computer proficiency in using Microsoft Office products. Attention to detail and good problem solving abilities, with moderate level of independent decision-making. Ability to interact in a professional manner with all persons, both internal and external, in a customer service friendly manner. Professional appearance and demeanor. Ability to maintain a high level of confidentiality. Exercise good judgement and initiative. |
