The department of Public Safety has an exciting opportunity for a Full Time Administrative Assistant to work at UHealth. The Administrative Assistant performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the efficient operations of the office.  

  • Primarily exercise discretion and sound judgment in daily activities.

  • Review all Public Safety incident reports for daily administrative distribution.

  • Keep Public Safety Department informed of any new updates regarding the Resolver Incident Report System.

  • Complete special tasks requiring incident queries for Key Performance Indicators (KPI’s)

  • Assist with yearly Clery statistics.

  • Assist and log Lost and Found recovered items.

  • Assist with the UM Student / Staff Bicycle Registry system.

  • Maintain daily logs to include firewatch logs.

  • Assist UM Public Safety officers with Incident Report System only when necessary.

  • Log and charge-out Guard Services work-orders.

  • Oversee the Public Safety Key-Track box at the Public Safety Briefing Room.

  • Ensures completed work products meet required timelines and standards of quality and quantity.

  • Provide administrative support to all managers in the Public Safety administration office when necessary.

  • Answer telephone calls from shift Supervisors, Lead Officers, UM officers and dispatchers.

  • Take messages, answers routine questions, and transfer calls to appropriate individuals when necessary.

  • Assist Dispatch Manager and Security Systems Manager when necessary.

Minimum Qualifications

  • High school diploma or equivalent

  • Minimum 1 year of relevant experience

Knowledge, Skills and Attitudes:

  • General knowledge of office procedures and operations.

  • Ability to accurately prepare and maintain records, files, reports and correspondence.

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to process and handle confidential information with discretion.

  • Skill in completing assignments accurately and with attention to detail.

  • Proficiency in computer software (i.e. Microsoft Office).

Any relevant education, certifications and/or work experience may be considered.
