Position Overview

This position provides diverse administrative support for KU Information Technology’s (KU IT) Chief Information Officer, Directors, staff, and students, which requires discretion and highly developed written and verbal communication skills. Incumbent will be responsible for following established regulations, policies, and procedure.


Job Description

60% - Administrative Support for KU IT Directors, staff, and students
Responsible for providing administrative support for the Chief Information Officer, five (5) Directors, over 250 staff, and over 60 students. Duties include maintaining staff location maps and evacuation logs, ordering and maintaining all office supplies, monitoring departmental email accounts including DMCA, preparing agendas, attending meetings, and taking minutes, event planning, Price Computing Center conference room reservations, and providing clerical support on special projects.

20% - Reception Desk
Receptionist duties include handling all calls to the main phone number, greeting all visitors in a friendly, professional manner and assisting with visitor badges and parking permits, processing the mail, maintaining the reception desk process documentation, assisting with maintaining the office supply area, and keeping supplies organized and stocked.

20% - Other Duties as assigned

Security Profile:
This position shares in responsibility for information security by following all applicable security policies and procedures.


Required Qualifications

1. High School diploma or completion of G.E.D. equivalency.
2. One year of experience in administrative and clerical support work, including scheduling meetings, calendaring and screening phone calls OR one year of post-secondary education.
3. Demonstrated ability to communicate effectively, both verbally and in writing, with all levels of management and staff as evidenced by application materials.
4. One year of experience with Microsoft Office products including Outlook, Word, Excel, and PowerPoint.
5. One year of experience with basic office equipment (multi-line phones, computers, copiers, fax machines).


Preferred Qualifications

1. Associates or Bachelor’s degree in business, communications, English, or related field.
2. One year of experience in updating web page content.
3. One year of graphic design experience with both Visio and Photoshop.
4. Knowledge of KU's administrative policies and procedures as they relate to processing travel requests/reimbursement and purchasing office supplies.
5. Prior experience working for the University of Kansas.
