Job Description Summary:
The Administrative Assistant reports to the Senior Associate Dean for Faculty Affairs and Development in the School of Medicine Executive Dean’s Office. Responsibilities include a variety of administrative and clerical duties supporting office operations. This individual should have exceptional interpersonal and communication skills and act as a positive representative of KUMC. This position may be eligible for a hybrid work schedule.

Required Qualifications

Education: Associate’s degree. Professional experience in an academic setting may be substituted on a year-for-year basis.

Work Experience: Two years experience in an administrative role.

Job Description

  • Provide clerical and administrative assistance and serve as the primary point of contact for the office.
  • Coordinate and prepare correspondence, reports, spreadsheets, and presentation materials.
  • Responsible for helping prepare special projects.
  • Provide administrative support functions for the Senior Associate Dean for Faculty Affairs and Development. This includes managing appointments, prioritizing tasks, organizing meeting requests, and collaborating internally with other KUMC and KU Hospital personnel, as well as externally.
  • Provide administrative support for Women in Medicine & Science (WIMS). This includes scheduling meetings, compiling agendas, completing meeting minutes, managing the annual elections process, and assisting with the planning and coordination of WIMS sponsored events.
  • Assist with communications and tracking for faculty processes which includes annual faculty assessments, promotion and tenure, and agreement renewals.
  • Coordinate and manage activities by prioritizing assigned duties, requesting guidance when needed, and exercising discretion to ensure all pressing matters are handled in a timely and appropriate manner. Be mindful of important issues which are often sensitive and confidential in nature.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
