Position Summary
Provide office and administrative support for the Department Head and Director of Operations in Finance, Grants, Human Resources, Facilities, and Communications. Provide high-level management of daily office tasks within the Department of Physical Therapy administrative office. Responsible for retrieval and formatting of monthly departmental financial reports.
Duties & Responsibilities

  • Responsible for day-to-day administrative operations of the office which include serving as front office receptionist, opening, and closing of the office, answering the phone, mail deliveries, submitting facility, key, and building access requests, and taking meeting minutes.
  • Order departmental supplies using I-Buy, reconcile P-card transactions, use a T-card to book travel for department faculty and staff, and process receipts through TEM, maintain physical inventory, and collect, track, and deposit student and program fees. Generate monthly transaction reports and reconcile them.
  • Maintaining physical inventory through the FABweb system and working with outside vendors for repairs.
  • Provide administrative support for special projects, including planning and set-up of departmental lectures and seminar series.
  • Act as backup to the program assistant for the updates of content to the departmental website and the maintenance of the departmental listserv. Responsible for reserving classrooms for faculty and student use. _x000d_ _x000d_
  • Retrieval, formatting and distribution of standard financial reports at the close of each month for all departmental accounts.
  • Act as the backup to the program assistant for incoming DPT students.
  • Perform other related duties and participate in special projects as assigned.

  • Qualifications:
    Minimum Qualifications
    • High school graduation or equivalent
    • Any one or any combination totaling five (5) years (60 months) from the following categories:
      • college course work in business, finance, accounting or a related field:
        • 60 semester hours or an Associate's degree equals one (1) year (12 months)
        • 90 semester hours equals two (2) years (24 months)
        • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
        • Master's degree or higher equals four (4) years (48 months)
      • progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or a job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles
