Position Summary:

In the midst of our comprehensive fundraising campaign, we are growing our exceptional team of passionate, mission-driven Advancement professionals, looking for an Administrative Assistant who will support the fundraising and engagement efforts as part of the Advancement Services team.

This position is responsible for a variety of projects and tasks, including:

● Manage accounts payable and reconcile purchasing cards for Advancement Services.
● Coordinate acknowledgement letter process for executives, from signature to distribution to database documentation. Assist with annual Christmas card mailing.
● Support Advancement Services interview processes and new hire onboarding.
● Perform clerical and operational duties and front desk activities, including but not limited to Advancement Division mail services, ordering supplies, maintaining staffing lists, scheduling the use of division golf carts/fleet, etc.
● Assist division teams with account payable during high volume seasons like Christmas and Reunion Weekend.
● Schedule meetings and support daily calendars for Advancement Services leadership positions. Provide all associated meeting materials and handle follow up actions and correspondence. Assist with travel arrangements.

Minimum Qualifications:

High School diploma.
Two years administrative experience.
Experience managing multiple projects with strong organizational skills.
Proficiency with Google and Microsoft Office Suite.
Experience in a customer service environment.
Strong interpersonal skills and high comfort level reaching out to manager and team to acquire information for projects.

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

Some college preferred.
Accounts payable and expense management experience.
Office management experience.
Knowledge of non-profit or higher education industry and practices.
Work experience with database tools.
Experience working with diverse populations and dealing with people diplomatically.
Knowledge of and sensitivity to a Catholic Marianist work environment.
