Administrative Assistant to the Vice President for Academic Services

Bethel University has an opening for an experienced, organized and highly technical Administrative Assistant to the Vice President for Academic Services through maintenance of faculty contracts, load sheets and a wide variety of administrative support tasks.

Responsibilities will include:

• Provide general receptionist and clerical support for the Office of Academic Services
• Schedule and Coordinate event planning for Commencements, Retreats, and Faculty meetings and Workshops, and provide logistical support for academic meetings, including monthly Academic Policy and Faculty Meetings.
• Assemble, distribute, and maintain academic discipline files and communication.
• Maintain appointments; process expense and travel reports for the Vice President for Academic Services.
• Assist in faculty hiring process by managing applications, correspondence and scheduling interviews.
• Draft, compile and maintain faculty files and contracts.
• Process faculty load sheets.
• Draft, compile and maintain adjunct contracts.
• Maintain faculty promotion and tenure information, faculty rosters, and faculty committee assignments.
• Maintain log of faculty absences and professional development fund use.
• Facilitate and track faculty submissions of syllabi.
• Facilitate new faculty orientation.
• Assist with regional accreditation and compliance.
• Facilitate revision of faculty handbook, Academic Services' web pages, including the catalog pages.
• Send Deans List letters.

In recent years, Bethel saw the strongest series of financial ratios in 25 years (as defined by the U.S. Department of Education), increased admissions visits by 60% and applications by 20%, doubled the number of fully online students and saw surges in programs like Math-Engineering (+24%), Christian Ministries (+53%), Biology (+118%), Kinesiology/Pre-Physical Therapy/Sport Management (+177%), and total Graduate Program increases of +47%.
