The Department of Cancer Biology Genetics (CBG) would like to hire an Administrative Assistant to support an active teaching and research department in the OSU College of Medicine. The Administrator works closely with department leadership to manage all administrative aspects of the department. The Administrator will play an integral role in the department and is highly valued for their important contributions.
Functions as an Administrative Assistant providing excellent customer service and support to the Department of Cancer Biology and Genetics (CBG); provides comprehensive administrative support to the Department Chair, Department Administrator, and faculty in managing and coordinating all phases of daily operations within CBG; coordinates daily activities of administrative office, including greeting visitors, submitting facilities requests, and delivering mail; supports the Education Committee Chair and Education Committee in managing and coordinating classes for the department, which includes scheduling courses, reserving classroom space, and working with the College of Medicine’s Education Office; coordinates appointment calendars of assigned leadership and faculty; coordinates and makes travel and lodging arrangements for faculty, trainees, and students; collects, prepares, and processes requests for reimbursement of expenses post-travel; acts as department’s procurement initiator, including managing the department Procurement Card; organizes, coordinates, and executes the logistics of special projects, events, and reports for department meetings such as Works-In-Progress, Faculty Research Seminars, Faculty Meetings, and the Annual Department Retreat, etc..; records, transcribes, and distributes meeting minutes; maintains department website; actively participates in faculty recruitment; supports department leadership and faculty to research, collect, and interprets information and data to aid in decision making;
Serves as a safety representative and asset manager for the department;
May participate in faculty appointment, re-appointment, and/or promotion and tenure activities; may assists the Department Administrator with fiscal and human resources activities; serves as a liaison with university offices, faculty, staff, and outside agencies.
Initially, this position is required to work from campus full-time. However, there is a possibility for a hybrid work schedule once the Administrator is comfortable in the position.

MINIMUM REQUIRED QUALIFICATIONS
At least six months experience (600 hours course work or training) in customer service or communications, including researching, analyzing, and interpreting information. Three months experience (300 hours course work) in financial operations; Six months experience (600 hours training) in operation of spreadsheet, publication, and/or presentation software and related computer equipment; Three months experience (300 hours course work) in supervision management.
High School diploma or GED. Certification or vocational training may be preferred. 1 year of relevant experience required. Experience working in academic medicine or an academic research department is preferred, but not required.
