The Opportunity

The School of Industrial and Labor Relations is seeking a service-minded professional to serve as our Administrative Assistant. The position will provide a wide variety of administrative support for teaching and research faculty members, including visiting teaching faculty and directors of departments in the ILR School. This position is also responsible for general program management responsibilities for ILR faculty initiatives including the ILR School’s Worker Institute, Director of Research, and the Ithaca Co-Lab. In this role, you will:

  • Perform academic support duties for teaching and research faculty members
  • Support the Academic Director of the ILR Worker Institute
  • Provide event management support
  • Support the Director of Research initiatives 
  • Participate as an active member of the academic Administrative Assistant team

The position requires the ability to manage multiple tasks and to prioritize work on simultaneous projects, and the ability to work successfully on a variety of tasks within a fast-paced, team-oriented, diverse office setting.

This is a full-time (39 hours/week) Contract College position that is based in Ithaca, NY. This position follows a 4:1 campus-to-home hybrid work schedule after a period of acclimation. Work hours are flexible, but will be mutually agreed upon.

What We Need

We are looking for a detail-oriented individual that is an excellent communicator, adaptable and enjoys working in a collaborative academic environment. Additionally, you will:

  • Hold an Associate's Degree and a minimum of two to four years of experience in an office setting or equivalent combination of education and experience.
  • Have prior office experience in a teaching and research-based setting.
  • Successfully manage and prioritize multiple tasks while working under pressure within a fast-paced, office environment.
  • Interact tactfully with diverse groups of individuals.
  • Be flexible and able to work with many different work styles at one time.
  • Prioritize requests, manage time effectively to meet departmental and university deadlines.
  • Ability to take initiative and be a pro-active team member.
  • Demonstrate ability to work in a disruptive environment without being distracted is essential.
  • Plan, organize and coordinate multiple projects, manage events and special assignments
  • Have outstanding organizational skills.
  • Display excellent written and verbal communication skills.
  • Maintain confidentiality and exercise discretion is essential.
  • Have expertise in Microsoft products including Word, Excel, PowerPoint and Outlook.
  • Quickly learn new software, equipment, and systems.
  • Monitor and manage financial accounts.
  • Have prior event planning experience
  • Hold general database operating knowledge and internet search skills.

If you possess these experiences this may be the role for you! There are a few other qualifications that we would view as incredibly helpful in this role, to include:

  • Bachelor’s Degree preferred.
  • Minimum six years of experience in an office setting.
  • Demonstrated proficiency in Kuali Financial Systems and Webfin2 and working knowledge of Cornell's financial policies.
  • Knowledge of Cornell University’s travel and reimbursement systems, eShop, and I Want Doc procurement systems.
  • Experience with PeopleSoft, Faculty Center, Canvas, Zoom, and Lyris.
  • Experience with Workday, OLGAA (On-Line Grade Adjustment Application), Exchange Group Accounts, Cornell University Box, Cornell Dropbox, Academic Jobs Online.
  • Experience working with Drupal, HTML or other web development tools.
  • Knowledge of SurveyGizmo, Qualtrics or similar online survey software.
  • Knowledge of Mailchimp and other online communication tools.
  • Prior student supervisory experience and skills.
  • Prior experience working with college age workers.
  • Experience in proofing and editing technical and scientific papers in the social sciences.
  • Demonstrated history and continued commitment to Cornell University’s ideals and “Staff Skills for Success”.

The position will allow for the flexibility to work remotely a minimum of one day per week at a location of employee’s choosing within the United States.
