Job Description Summary:
This position provides faculty, the Director of Research, and research personnel with administrative and logistical support of research activities. Must be able to assist with basic regulatory, financial, and general office functions that require a focused, detailed-oriented person.
This position will also support pre- and post-award grant administration. The Administrative Assistant will work with faculty and staff to research, review and ensure grant proposals are compliant with institutional and sponsor policies, procedures, rules, and regulations, and coordinate internal communication throughout the lifecycle of the award to ensure accurate and complete records are maintained.

Required Qualifications

Education: Associate’s degree or a combination of education and relevant work experience may be substituted for degree on a year-for-year basis.

Work Experience:

Minimum of two years' experience as an administrative assistant or similar position in an academic/healthcare environment.


Preferred Qualifications

Education: Bachelor’s degree and experience working with clinical research projects.

Work Experience:

  • Experience reading and interpreting funding opportunity announcements and demonstrated knowledge of pre-award grant submission process highly preferred.

  • Working knowledge of NIH application requirements and policy regulations

  • Experience using the Microsoft Office suite (Word, PowerPoint, and Excel).

Skills:

  • Excellent communication, interpersonal, analytical, and problem-solving skills.

  • Ability to work with faculty, staff, external entities, and other internal departments in a professional manner.

​Job Duties

  • Provide administrative support functions for the Director of Research and research personnel. This includes managing appointments, prioritizing, and organizing meeting requests, and collaborating with other KUMC and KU Hospital administrative offices as well as external entities.

  • Coordinate and manage activities by prioritizing assigned duties, requesting guidance when needed, and exercising discretion to ensure all pressing matters are handled in a timely and appropriate manner. Work with issues of importance which are often sensitive and confidential in nature.

  • Serve as liaison between Clinical Trials Office, Research Administration Institute, Sponsored Programs Administration, and KU Endowment paying invoices and seeing to the maintenance and reconciliation of clinical trial and grant accounts.

  • Assist with the creation of spreadsheets and reports as needed and other documents for distribution related to clinical trials and grants.

  • Provide back-up for Clinical Research Coordinator (i.e., data collection and update of participant records).

  • Provide direction, support, and make recommendations to maximize use of funds and ensure all research operations (departmental, grants, projects) remain within budget.

  • Prepare short and long-term financial forecasts of financial performance.

  • Prepare, document, and maintain all supporting information for all financial transactions, and for any department audit and liaise with the auditors and other departments, as necessary.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
