Job Description

Seeking a detail oriented Administrative Assistant to perform a variety of administrative tasks, requiring initiative, budget expertise, and independent judgment.

Essential Duties

  • Provides administrative support
  • Maintains executive’s calendar
  • Coordinates and arranges travel which includes serving as travel delegate, entering travel requests and expense reports in Concur, arranging air travel, ground transportation, lodging, conference registration, etc.
  • Processing workday transactions (to include but not limited to vendor payments, supply orders, expense reimbursements, Journals)
  • Make PCard purchases / Reconciling PCard / allocator
  • Maintaining spreadsheets for monitoring transactions
  • Monitoring and reconciling budgets/accounts
  • Responsible for creating worklets for responsibilities
  • Other duties as assigned

Minimum Qualifications

Four (4) years secretarial/administrative experience; OR, Certificate in Secretarial Science AND three (3) years of secretarial/administrative experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience in supporting a high-level administrator in higher education that includes management of day to day activities, calendaring and travel arrangements.
  • Experience with reimbursements and payments in Workday
  • Experience with PCard use and reconciliation
  • Experience with Concur or similar travel management system
  • Evidence of effective written communication skills.
  • Skill in planning, analyzing and coordinating activities and establishing priorities. 
  • Skill in problem solving and decision-making. 
  • Experience in higher education
  • Experience working with diverse populations

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%). Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read complex material, write clearly and grammatically, see, and hear to perform essential functions.; Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.; This position receives regular review of objectives by department administrator.
