JOB SUMMARY:

Provide administrative, technical and clerical support for the chair, program directors, and faculty in the department of Teaching, Learning & Technology. This is a 25 hour per week position.

SALARY INFORMATION:

In compliance with New York’s Pay Transparency Act, the salary for this union position is $29,627. Pre-employment assessment on Microsoft Word and Excel will be conducted.

REPORTS TO: Department Chair and and Senior Director of Student Success & Administrative Affairs

RESPONSIBILITIES & DUTIES:

  • Meet and greet students in the Harvey Hall main office. Respond to email, telephone and walk-in inquiries.
  • Schedule ELI department meetings and manage the chair’s calendar as requested.
  • Compose a variety of routine and/or specialized correspondence, blast emails, meeting minutes, reports, documents, applications, RSVP’s, and/or other applicable materials. Create, manage, and update electronic and hard copy student records. Assist chairs, faculty, and OSS with obtaining necessary student information upon request.
  • Send out probation letters and maintain the probation maintenance system via SAAS including posting notes to Navigate and Adelphi LMS systems.
  • In collaboration with the Office of Student Success, maintain spreadsheet reports of incoming students by program and send out graduate admissions’ letters on behalf of the Chairs.
  • Maintain supply inventory and request instructional materials, including examination copes, as needed. Support Director of Operations with purchase orders, check requisitions and faculty requests.
  • Maintain communication with One Stop and the RSA CEHS Office of Student Success as needed.
  • Assist in making travel arrangements for faculty.
  • Receive and distribute mail.
  • Provide support for special events, open houses, and provide in-person coverage at the Ruth S. Ammon College of Education and Health Sciences Pre-Commencement
  • Performs other job related duties as assigned.
  • REQUIREMENTS: (Knowledge, Skills and Abilities)

  • Ability to prioritize workload according to volume, urgency, etc.
  • Excellent interpersonal and organizational skills.
  • Excellent clerical skills.
  • Excellent professional verbal and written communication skills. Writing sample required.
  • Demonstrated ability to work independently with attention to detail.
  • Excellent problem solving and time management skills.
  • Experience with student affairs in higher education is highly desirable.
  • Ability to multitask and work efficiently in a fast paced environment.
  • Understanding of FERPA with the ability to maintain confidentiality.
  • Excellent demonstrated ability with Microsoft office suite (PowerPoint, Excel, Word); Adobe, Moodle, and internet navigation.
  • EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  • Associate’s degree is preferred.
  • Three years of student-service experience in a higher education setting is preferred.

  • Department of Teaching, Learning & Technology - Monday 9am - 4:30pm, Tuesday 9am - 4pm, Wednesday 9am - 4:30pm, Thursday 9am - 4pm.
