The Opportunity:  

Embry-Riddle is now hiring an Administrative Assistant to support the Office of the Provost located on the Daytona Beach Campus. Under the supervision of the Manager of Provost Operations and Executive Assistant to the Senior Vice President for Academic Affairs and Provost, the Administrative Assistant is responsible for administrative functions of the Provost's office and supporting the Vice Provost for Academic Affairs and Vice Provost for Faculty Affairs. The Administrative Assistant interacts with academic departments, academic leadership, academic support departments, Human Resources, student employment, budget, and other departments within the University.

Responsibilities include:

  • Administrative point of contact for the Vice Provost for Academic Affairs and Vice Provost for Faculty Affairs. Oversee schedules, coordinate meetings, and ensure seamless operation of daily administrative tasks. Manage travel arrangements and travel reimbursements. Purchase and monitor departmental supplies.
  • Maintain and organize data and documentation for academic affairs and faculty affairs. Create and compile materials, reports, and presentations to support the Office of the Provost.
  • Collaborate on the planning and execution of events and meetings for the Office of the Provost.
  • Serve on project teams and committees as directed.
  • Other duties as assigned.


Qualifications

Required Qualifications:

  • Associate's degree or completion of program of 18+ months after high school.
  • Minimum of 1-3 years of administrative work experience.
  • Demonstrated Independent Decision-Making: Proven ability to make independent decisions, conduct research, analyze information, and effectively solve problems.
  • Work Under Pressure: Experience in working effectively under the pressure of tight deadlines, managing frequent interruptions, and adapting to changing and competing priorities. Ability to remain composed under pressure and effectively prioritize tasks assigned by different members of the leadership team.
  • Process Innovation: Capacity to develop new systems or procedures to resolve problems and optimize workflow.
  • Interpersonal Excellence: Exceptional interpersonal skills, with a track record of successful independent work and collaborative teamwork.
  • Analytical Proficiency: Strong analytical skills with an in-depth knowledge of Microsoft 365 tools (Excel, PowerPoint, Word, Teams, SharePoint, Outlook/email).
  • Time Management and Organization: Exceptional time management and organizational skills are required for handling diverse tasks.
  • Critical Thinking: The capability to work independently and think critically is essential. Simultaneously, you possess the ability to be a team player and collaborate effectively with multiple stakeholders.
