Position Description

The Office of Institutional Advancement at The Chicago School is seeking an Administrative Assistant to support the day-to-day operations and logistics of the team. This is a remote role. Candidates are ideally located in Los Angeles, CA or Chicago, IL to support local events. After-hours or non-regular business hours might be required. This is a temporary position expected to end on May 31, 2023.

Key Responsibilities

  • Tracking key projects and initiatives in Excel and Airtable

  • Producing and distributing publications, including three monthly newsletters, four donor campaigns and associated materials.

  • Coordinate and support events, including coordinating with the venue, shipping materials and supplies, producing event materials, and tracking attendance and follow-up tasks

  • Coordinate and produce key reports, gathering data from a variety of platforms and colleagues

  • Provide general office support, including invoice processing, vendor review and reconciliation, proposal coordination and production

  • Other duties as assigned

Key Skills

  • Proficiency with Microsoft Office Suite (especially Outlook, Excel), Airtable, Canva, and Constant Contact

  • Strong organizational skills and attention to detail: demonstrated ability to track multiple ongoing priorities and projects

  • Strong written and verbal communication skills

  • Positive, team-oriented attitude and a collaborative working style

Position Qualifications:

  • Bachelor's degree preferred

  • 3-5 years related experience required, at least 2 years of experience working as an administrative assistant to a mid-to-senior level executive is desired

This opportunity is budgeted at $$20.00 - $27.00 base compensation. Additional compensation factors may impact total compensation.
