The Office of Institutional Advancement at The Chicago School is seeking an Administrative Assistant to support the day-to-day operations and logistics of the team. This is a remote role. Candidates are ideally located in Los Angeles, CA or Chicago, IL to support local events. After-hours or non-regular business hours might be required. This is a temporary position expected to end on May 31, 2023.
Tracking key projects and initiatives in Excel and Airtable
Producing and distributing publications, including three monthly newsletters, four donor campaigns and associated materials.
Coordinate and support events, including coordinating with the venue, shipping materials and supplies, producing event materials, and tracking attendance and follow-up tasks
Coordinate and produce key reports, gathering data from a variety of platforms and colleagues
Provide general office support, including invoice processing, vendor review and reconciliation, proposal coordination and production
Other duties as assigned
Proficiency with Microsoft Office Suite (especially Outlook, Excel), Airtable, Canva, and Constant Contact
Strong organizational skills and attention to detail: demonstrated ability to track multiple ongoing priorities and projects
Strong written and verbal communication skills
Positive, team-oriented attitude and a collaborative working style
Bachelor's degree preferred
3-5 years related experience required, at least 2 years of experience working as an administrative assistant to a mid-to-senior level executive is desired
