Position Description

An Administrative Assistant position is available in the Envirome Institute (EI) at the University of Louisville. This position will be responsible for performing fiscal, purchasing and administrative duties that support the Envirome Institute Members and their activities. 

Essential Duties and Responsibilities:

  • Financial
  • Process and place orders for the Envirome Institute and reconcile all purchases in OnBase and BI
  • Process procard reconciliation, reallocations, make sure all charges are in line with UofL requirements and that all backup is attached for charges
  • Process travel reimbursements through PeopleSoft for EI faculty, staff and visitors
  • Reconcile general speedtypes
  • Manage ProCard applications for all new and updated accounts
  • Payroll
  • Process weekly and monthly payroll documents
  • Travel
  • Organize travel arrangements for all EI members (faculty, staff, and trainees)
  • Organize travel and accommodations for guests of the Center
  • General
  • Provide general administrative support to the EI Team by obtaining meeting and Outlook calendar information
  • Conference and Symposium planning and coordinating
  • Provide effective and efficient customer service working with other departments and suppliers  
  • Track and process office supply orders 
  • Maintain building access for all faculty, staff and visitors
  • Provide backup when other administrative staff is out of the office
  • Perform additional duties as assigned by the Institute Director of Operations, Center Directors, and/or Unit Business Managers
