  • Assist Director with but not limited to:
  • Purchasing/PO process;
  • Ordering technical and computer equipment and supplies;
  • Posting news releases and NewsCapsules to Newswise/ Eureka and other platforms;
  • Preparing, Inputting and helping to distribute Einstein Connection e-newsletter;
  • Coordination and processing of invoices and paperwork associated with vendors for department;
  • Weekly tracking of invoices, accounts payable and identifying potential areas of cost inefficiencies;
  • Moderate to complex database creation requiring advanced Excel skills;
  • Preparing PowerPoint presentations;
  • Troubleshooting for department (computer problems, copy rooms issues, orders not delivered on time.) Assist Director and Remainder of Department with:
  • Budget tracking, reconciliation and monitoring;
  • Ordering technical and computer equipment and supplies;
  • Duplication and preparation of materials for meetings including coordination and room reservations;
  • Proofreading;
  • Answering phones and directing calls. Other Miscellaneous Office Responsibilities:
  • Maintain College's Academic & Social Calendar of Events- new posting, edits, deletions;
  • Contact and coordination with other Einstein departments for outside requests as needed;
  • Follow-up and complete necessary forms associated with departmental requests
  • i.e. telephone, internet, email, renovations/repairs.
  • Set up, organize, and maintain complex electronic and/or paper divisional or departmental files of records.
  • Assist administrator/supervisor to implement new office methods and procedures to ensure accuracy and efficiency; ensure accurate maintenance of office records and documents keeping abreast of new policies and procedures.
  • Assist in procurement and payment processes; utilize computer-based programs to submit and track supply orders, requisitions, and reimbursement forms for business expenses, vendor invoices, consultant agreements, work orders, etc.
  • Perform other related duties as assigned


  • High School Diploma and at least 5 years of administrative support experience is required. Equivalent combination of education and experience will also be considered.
  • Advanced Office, Advanced Excel and Advanced PowerPoint is a must for this position.
  • Ability to handle data sets accurately.
  • Excellent written and oral communications skills including eye for detail and command of language and grammar.
  • Should exude professionalism and positive attitude at all times and be adaptable in a rapidly changing work environment with competing priorities.

The Administrative Assistant will provide administrative support to the Director of The IDDRC- Intellectual and Developmental Disabilities Research Center.

Founded more than 50 years ago, the Rose F. Kennedy Intellectual and Developmental Disabilities Research Center has long been at the forefront of research on normal and abnormal brain development. The overarching mission of the Center is to improve the lives of children with intellectual disabilities by fostering basic, translational and clinical research focused on better understanding and treating these conditions.
