The University of North Georgia is currently accepting applications for an Administrative Assistant III on the Gainesville campus. The Center for Teaching, Learning, and Leadership (CTLL) seeks an Administrative Assistant III who will be an event and budget manager, and a communications hub. The position includes updating data, working with UNG faculty to achieve career milestones, and managing student workers. This position is responsible for purchasing, budget tracking, double-entry accounting, file maintenance, and is a P-Card holder. 12-month hourly staff position. Occasional intercampus travel. 
In addition to background checks for all cardholders, O.C.G.A. § 50-5-83 requires a credit check on all employees issued a purchasing card. Additionally, credit checks must be run at the time of P-card renewal.

  • Provide purchasing, operational, and personnel budget support to CTLL and Academic Engagement: Maintaining, tracking, and updating Banner state budget reports. Reconciling budget expenditures. Ordering and purchasing supplies using P-card and/or procurement system. Coordinating with the CTLL Director and AE Director to forecast budgets and spending, complete budget amendments when needed. Tracking and updating CTLL Foundation budget. Coordinating with CTLL Director and AE Director to draft Personnel Action Forms (PAF) for CTLL and AE affiliates. Coordinating with CTLL and AE staff and affiliates for travel expenditure support.
  • Manage event planning for CTLL programs across all campuses, both virtual and in-person (70+ annually). This includes: Coordinating with faculty, staff, and other partners to schedule events and services, including AV and technology support and facilities support.  Coordinating with CTLL Director, Assistant Director, and Communications Specialist to launch awards, collecting candidate data, and updating award data for internal and external awards. Coordinating with the CTLL Director to launch and review applicants for mini-grants and communities of practice.
  • Provide communication support by interacting with faculty, staff, administration, and external partners who use, facilitate, or provide support for CTLL programs and services. This interaction includes: Answering phones, responding to email, using various software programs to create, edit, and distribute presentations. Assisting communications specialist with marketing design, scheduling, and content. Assisting director with scheduling internal meetings, confirming action items, and developing meeting agendas. Ensuring office coverage as needed. Maintaining and updating mailing lists and Outlook groups.
  • Provide administrative support to Office of Academic Engagement (AE): Coordinating with AE Director and Communications Specialist to launch awards, collect and organize candidate data, and update award data for internal and external awards. Reserving space for AE events. Coordinating with AE director and CTLL Director to launch, review, update, and track LEAP into Action Grants.
  • Maintaining digital filing system. Maintaining diverse administrative records including event and partner databases, assessment data, procedural information, budget information. Order services and repairs for CTLL facilities and office equipment. Maintaining and updating CTLL lending library data.
  • Managing and distributing work assignments to student workers, approving timecards, training student workers, overseeing the hiring of student workers.

Knowledge, Skills & Abilities

  • Knowledge of MS Office (Excel, Word, PowerPoint, Outlook).  
  • General knowledge of higher education academic hierarchy preferred.
  • Bachelor's degree.
  • Minimum 1 year of clerical or administrative experience, 
  • Or equivalent combination of education and experience. 
  • Current Driver's license for occasional intercampus travel.
