The College of Engineering, Design and Computing - Department of Bioengineering Campus seeks an Administrative Assistant III to work in the Center for Inclusive Design and Engineering located on the Denver Campus in downtown Denver. The Center for Inclusive Design and Engineering (CIDE) is a program within the Department of Bioengineering, College of Engineering, Design and Computing, University of Colorado Denver. Our mission is to empower individuals with disabilities to achieve their highest potential through the use of assistive technology, by providing exemplary clinical services, consultation, education, research and innovative technology development. This full-time University Staff (non-classified) position will work at our Auraria Campus, downtown UC Denver location and will work directly on an emergency preparedness project for individuals with disabilities. This project focuses on providing emergency preparedness trainings statewide to individuals, and organizations who provide Home and Community Based Services to individuals with disabilities on Colorado Medicaid. It will also provide backup power supplies and Emergency Go Kits to these individuals.

Examples of Work Performed:

  • Marketing/Communications
    • Assist in the creation and distribution of marketing materials, , social media posts and resources to help market the project
    • Mail paper applications and surveys when necessary;
    • Provide intake of all applications (electronic and paper); ensure all applications are complete; and participant meets eligibility requirements
    • Answer phone/email questions about the program in both English and Spanish
    • Interact with program customers, teammates, and consultants to ensure high quality support, services, and satisfaction.
    • Develop and maintain strategic email list serves.
    • Work collaboratively with the team to maintain the program’s website and social media presence.
    • Assist with the development and distribution of program marketing and instructional materials including event announcements, brochures, web posts,  and social media posts.
    • Communicate effectively with supervisor and other team members
  • Production
    • Coordinate ordering of backup power products and purchase/rental of medical equipment
    • Create  Go Kits for emergency preparedness materials for individuals with disabilities. This includes ordering materials, compiling kits and shipping to recipients
    • Assist with the purchase of new equipment (power supplies and go kit supplies) and enter items into inventory. Manage tracking spreadsheet, allocation and reconciliation of expenses.
    • Inventory management, generating reports, satisfaction surveys, troubleshooting devices.
    • Create policies and procedures to manage processes of the project including ordering and managing equipment, tracking delivery, training and follow-up
  • Application
    • Assist in development of applications so individuals with disabilities can apply for backup power supplies, resources, and go kits.
    • Collect, track and refer completed applications to assessment team
  • Training
    • Set up registration for all trainings, track attendance, assist in training administration including scheduling and coordination of ASL interpreters and translators
    • Develop and manage online event registrations, including invoicing, providing receipts, and online payment transactions.
  • Evaluation
    • Track distribution of power supplies and go kits
    • Complete data entry and tracking of 2 statewide needs assessment surveys, assist with transfer of non-digital to digital format
    • Distribute, and analyze surveys for a variety of program purposes including customer satisfaction, quality improvement, program planning, and outcomes measurement.
    • Compile and analyze data in order to generate bi-annual reports, or as needed.

Minimum Qualifications:

  • Three years of experience in an occupational field related to the work assigned to the position.
  • Experience utilizing MS Outlook; experience will include utilizing electronic mail and calendars and electronically scheduling meetings, appointments, and conferences.
  • Experience utilizing Microsoft Word to develop, edit and update reports, letters and correspondence.
  • Experience utilizing Microsoft Excel to create, revise, and maintain spreadsheets.
  • Fluent bilingual skills in English and Spanish

Substitution: Appropriate education will substitute for the required experience on a year-for-year basis.

Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience providing administrative assistance to faculty, staff and students within a higher education program and/or medical practice environment.

Competencies / Knowledge, Skills and Abilities:

  • Ability to communicate effectively in written form which includes the ability to check for typographical, grammatical and spelling errors.
  • Knowledge of general office procedures, protocol and professionalism; expert knowledge of Business English, spelling, punctuation and grammar.
  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time and meet deadlines.
  • Proven ability to work in a team environment, develop effective interpersonal relationships, provide superior customer service, and communicate verbally and in writing.
  • Proven knowledge of word processing, spreadsheet software, Email, and internet access software.
  • Ability to use Microsoft Excel to add, edit and track content on spreadsheets
  • Proven data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis.
  • Solid ability to work with accuracy and attention to detail

Salary and Benefits:

The salary range (or hiring range ) for this position has been established at $43,000  to $51,000.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is eligible for overtime compensation.
