Administrative Assistant III - Medical Student Affairs

Performs complex, advanced, diversified and confidential administrative duties at the function level.  Perform routine clerical and administrative functions such as answering phones, drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing strong customer service skills.

 

This position includes specific duties related to Academic Success include scheduling events and providing support for the Vital Signs Mentoring Program, Physician's Lifestyle Management, AAMC Careers in Medicine program and Supplemental Instruction (SI) sessions.  Tasks include developing materials to be used in teaching, printing materials, coordinating room reservations, arranging food services, and assisting with facilitation of these programs.

Additional duties of this position include providing clerical support to our student body and alumni by producing requested correspondence such as letters of good standing, military verification letters, and jury letters for current students.  The staff member in this position manages the completion of Graduation Verification letters and Fellowship application requests to alumni.  Hundreds of such letters and verification are prepared annually through this position.

This position coordinates USMLE Step 1 testing for all M2 students and assists M4 students scheduling their USMLE Step 2 CK and CS examinations.  These duties include coordinating testing dates with the off-campus testing site and assisting in resolving issues that may arise when a student must change a scheduled examination date.  The staff member in this position will assist with making testing arrangements for shelf and other examinations and serve as a test proctor.

Additional duties include assigning student lockers, preparing class composites, ordering student nametags and office supplies and other duties as assigned.


Qualifications:

High school diploma or equivalent required;
Associate's Degree preferred;
6 years' administrative and/or office management experience;

Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint and Outlook

 

Knowledge, Skills, Abilities: 

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures/processes;

Ability to communicate effectively (verbal and written);

Customer service focus including the ability to assess inquiries and provide appropriate information or resolution using judgment and available resources, and proven ability to maintain confidentiality;

Ability to coordinate and prioritize work with multiple and conflicting demands in a deadline-oriented environment;

Ability to be collaborative and work in a team environment;

Demonstrate Professionalism;

Must be dependable/accountable
