Position Details
The Chemistry Department combines the personal attention of a small college with the advanced research opportunities of a larger university. This nearly unique combination represents the culmination of a long tradition of close collaborative interaction between students and faculty. In particular, the graduate programs allow us to provide superior research resources through significant external research funding, and the graduate students are key contributors to the intellectual life of the department. 
The Administrative Assistant reports to the Chair of the Chemistry department, and provides administrative support to the chair and the department.
Responsibilities include:
  • Provide administrative support for the weekly NSM lunches.
  • Coordinate the academic tutor/student matches for the chemistry department.
  • Coordinate with faculty and students, making arrangements for testing accommodations for qualified students.
  • Provide administrative support for the chemistry majors’ group (the Free Radicals.)
  • Pick up incoming mail and deliver outgoing mail as needed to WesStation.
  • Assist with major events (e.g., retirement parties, the Leermakers Symposium, etc.) which include site and location reservations, food arrangements, maintaining supply stocks, follow-up cleaning of event space, setup/coordination/presentation of supplies and foods for event participants.
  • Provide administrative support for the Facilities Manager, including, managing communications with building occupants regarding planned maintenance, service outages, and other facilities-related announcements.
  • Provide clerical support for the Chemical Inventory Management System (CEMS) by, for example, keeping Safety Data Sheet information up-to-date.
  • Provide clerical support for hazardous waste management (for example, maintaining stocks of all waste labeling supplies.)
  • Provide backup support to the other administrative assistant in the chemistry department, (particularly, for example, with regard to interfacing with the public, website maintenance, scheduling EMS maintenance and handling confidential records, managing student workers.)
  • Other duties as assigned.

This position is in the secretarial/clerical bargaining unit. The position works 910 hours per year, approximately 22 hrs. per week for 40 weeks, with reduced hours during off-peak periods.
Minimum Qualifications
Associate Degree and two years of related experience or an equivalent combination of education, training and experience.
Ability to set priorities, take initiative, and manage multiple duties with minimal supervision
Demonstrated ability to pay attention to detail.
Demonstrated expertise in Word, Excel, Outlook and email applications.
Experience with webpage and database management applications.
Ability to work effectively with students, faculty, staff, and visitors.
Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
Preferred Qualifications
Previous experience working in an academic environment.
