Job Summary:

The Administrative Assistant II provides advanced administrative and clerical skills to support the department.  The position exercises appreciable independent judgment in coordinating the details of the office.

 

Major Responsibilities / Duties / Critical Tasks:

·         Provide budget and financial support including but not limited to reimbursements, purchasing, and travel.

·         Complete monthly account reconciliations.

·         Make travel arrangements and reservations.

·         Responsible for managing contracts.

·         Handle confidential information and sensitive issues requiring discretion.

·         Maintain appointment calendar and schedule appointments.

·         Maintain office filling system and/or databases.

·         Order and maintain supplies.

·         Update the departmental website for currency and accuracy of the information.

·         Perform an annual inventory of supplies and equipment.

·         Other duties as assigned.

 

Accompanying Knowledge, Skills, Abilities and Competencies:

·         Advanced proficiency using computers and office software packages.

·         Working knowledge of databases.

·         Must exercise confidentiality and discretion at all times.

·         Ability to use appreciable independent judgment in coordinating the details of the Department of Public Health.

·         Consistently portray excellent interpersonal and communication skills.

·         Demonstrated professional demeanor and appearance.

·         Advanced organizational and professional skills leading to successful and timely task completion.



Qualifications

 

Required Education / Experience:

·         High School Diploma or equivalent.

·         Five (5) years of experience in an executive or professional office setting, preferably in higher education.


 

 

PREFERRED EDUCATION/EXPERIENCE

·         College degree.

·         Three (3) years of experience in business account reconciliation and budget control.

·         Demonstrated proficiency with MS Excel, Word and Outlook and experience with different accounting systems.
