Job Summary

Provide advanced secretarial and clerical skills requiring frequent use of UT Tyler software. Exercise appreciable independent judgment in coordinating the details of multiple offices, drafting communication, and coordinating meetings for students.

 

Major Responsibilities/Duties/Critical Tasks

  • Provide front line support and assistance to customers of the Student Counseling Center (65%), Student Conduct and Intervention (35%), and Vice President for Student Success office as needed.
  • Maintain confidential student files and coordinate student appointment scheduling for the Student Counseling Center and the Conduct Office.
  • Coordinate appointment scheduling in the Student Counseling Center for contracted psychiatric services.
  • Communicate with students regarding deadlines and conduct holds.
  • Review incoming student behavior incident reports in Maxient with the Assistant Dean of Students Team and process reports as directed.
  • Complete good standing checks, background checks and other student status confirmations for external and internal requests.
  • Assist with department assessments including assessing sanctions, preparation of annual and university reports (e.g. Clery, retention, etc.), and facilitating completion of student surveys; coordinate with other campus officials to provide judicial information needed for NCAA, federal and state reporting.
  • Support program goals and events for the Dean of Students Unit by participating in training, tabling, advertising, promoting, etc. as necessary. Summarize weekly the correspondence, assistance, needs, areas for growth, etc. to department heads.
  • Monitor expenditures against budgets and facilitate monthly reconciliation of accounts; process purchasing and travel as necessary.
  • Perform other related duties as assigned.

 

Required Education/Experience

  • High School Diploma or equivalent.
  • Three (3) Years of related work experience.

 

Preferred Education/Experience

  • Associate degree in field closely related to the specific endeavor of the department.
  • One (1) or more years of clerical experience.
  • Database experience.

 

Accompanying Knowledge, Skills, Abilities, and Competencies

  • Proficiency using computers and office software packages including PeopleSoft, Engage, or Maxient.
  • Experience working in a confidential setting.
  • Excellent customer service skills.

Additional Information

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
