Job Summary
The University of Texas at Dallas has an excellent job opportunity for individuals looking to join our team as an Administrative Assistant II in the Alan G. MacDiarmid NanoTech Institute in the School of Natural Sciences and Mathematics. This position will be responsible for providing administrative support to institute faculty and staff, as well as managing institute projects (e.g., NanoExplorers Summer Program).
Minimum Education and Experience

Bachelor’s degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

Preferred Education and Experience
Bachelor’s degree and five years of office administration or project management experience in higher education. Ideal candidate Experienced in PeopleSoft, eProcurement, Microsoft (Excel, Word, PowerPoint, Outlook, Teams), and Adobe.
Essential Duties and Responsibilities
  • Maintains a high level of understanding of the functions, programs, and policies of our institute and the University and interprets this information to our staff. 
  •  Works closely with the Director of Operations to oversee and manage ~$1M annually in external grants and contracts. Compiles monthly status reports for Director to provide a visual of the institute’s resources and how they are being used.
  • Responsible for the day-to-day operations of the administrative office, including but not limited to scheduling, invoicing, purchasing, reconciling accounts, monitoring state budgets, and acting as a liaison to budget, human resources, payroll, finance, sponsored projects, and other units.
  • Assist the Director of Operations with scheduling and planning special events.
