Position Highlights This position is located in St. Johns, AZ with Apache County Cooperative Extension. Performs varied clerical and administrative duties in a department of work unit. Typical duties include answering phones, creating correspondence, scheduling appointments, establishing and maintaining files and records. Handles differing office situations in accordance with supervisor's guidelines referring more difficult and sensitive problems to supervisor. Incumbents receive general instructions regarding tasks and require supervisor's assistance only on special projects/assignments. Incumbents use discretion, exercise initiative, independence and judgement in performance of duties.

Duties & Responsibilities

Administrative Duties:

*  Receives and screens telephone calls and visitors; assists visitors/calls by answering questions, providing information or directing them to proper staff/faculty.
*  Organizes, establishes and maintains record-keeping systems for correspondence, documents, materials or records.  Records or logs incoming information and follow-up on missing or incomplete information.
*  Interacts with faculty, staff, volunteers, visitors and outside agencies to relay information on policy, procedures, unit activities/events, initiates responses to inquiries and requests for information.
*  Opens reviews and distributes all incoming mail.
*  Operates office equipment such as personal computer, printers & copiers.

Clerical Duties:

*  Prepares, formats and proofreads materials such as letters, event flyers, reports.
*  Notifies attendees or participants of time and place of meetings/events.  Arranges facilities and services as directed by supervisor.
*  Assembles and distributes applications, forms and general information requested by applicants or the general public.
*  Assembles, researches and summarizes information from various resources; compiles data to prepare special or recurring reports.

Unit Assignments:

*  Liaison and reconciler for unit's PCard program.
*  Maintain calendars and schedules for unit.
*  Maintains office machines and supplies.
*  Maintains office inventory.
* Travel documents

Knowledge, Skills & Abilities:

Knowledge of basic record keeping procedures.
Knowledge of standard office practices and procedures.
Skill in typing/word processing and use of personal computers/software and general programs.
Skill in composing letters, flyers, brochures and preparing reports.
Ability to effectively communicate.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of 3 years of relevant experience required.
